Auto-Deactivation

Auto-Deactivation is a Premium feature that automatically deactivates every gift card in a job once the job reaches a specified age. This helps you manage gift card liability by ensuring older campaigns are disabled on a schedule.

How It Works​

When enabled, the app periodically checks your jobs and deactivates every gift card in any job that meets the following criteria:

  1. The job is a gift card creation job that has completed
  2. The job was created more than the configured number of days ago
  3. The job's gift cards have not already been deactivated

Deactivation applies to all cards in the job — including cards that customers have already partially or fully redeemed. Cards with a remaining balance lose access to those funds.

Setting Up Auto-Deactivation​

  1. Navigate to Settings in the app
  2. Find the Auto-Deactivation section
  3. Toggle the feature on
  4. Set the number of days after job creation when its gift cards should be deactivated
  5. Save your settings

Once enabled, the app will periodically check for eligible jobs and deactivate their gift cards automatically.

Both methods permanently deactivate the gift card. The only difference is how the deactivation is triggered.

Important Warnings​

Deactivation is permanent. Once a gift card is deactivated, it cannot be reactivated. Make sure your deactivation period is appropriate before enabling this feature.

All cards in eligible jobs are deactivated, including those already in use. Cards with a remaining balance — even ones a customer has been spending against — will be deactivated and lose access to any unspent funds. Choose your deactivation period carefully.

Deactivation does not free up your monthly quota. Gift cards that are deactivated still count toward your monthly plan limit. This prevents the quota from being gamed by creating and immediately deactivating cards.

Before Enabling​

  • Review your existing gift card jobs and their ages to understand how many cards would be affected
  • Choose a deactivation period that gives customers sufficient time to redeem their cards before the batch is retired
  • Check local regulations regarding gift card expiration and deactivation requirements
  • Communicate any deactivation policies clearly to your customers, especially that remaining balances will be lost

Use Cases​

Promotional Gift Cards​

If you distribute gift cards as part of a limited-time promotion, auto-deactivation lets you give the campaign a hard end date so the entire batch is cleaned up after the promotion is over.

Example: Create 500 gift cards for a holiday campaign. Set auto-deactivation to 90 days so the entire batch is deactivated 3 months after creation, signalling the end of the campaign for both used and unused cards.

Reducing Gift Card Liability​

Outstanding gift card balances represent a financial liability on your books. Auto-deactivation helps reduce that liability by retiring older batches on a fixed schedule.

Fraud Prevention​

Auto-deactivation can help limit exposure from leaked or stolen gift card codes by ensuring they become invalid after a set period.

Best Practices​

  • Start with a longer period: Begin with a generous deactivation window (e.g., 90 or 180 days) and adjust based on your redemption patterns
  • Monitor usage tracking: Review the Usage Tracking tab on your jobs to understand typical redemption timelines before setting a deactivation period
  • Communicate clearly: Let customers know if gift cards have an expiration or deactivation policy
  • Check regulations: Some jurisdictions have laws governing gift card expiration; ensure compliance with local requirements
